BOE AND CLIENT AGREED PLANNING FOR SUCCESS
Management Planning
The safety and wellbeing of participants and staff members is the foremost concern for BOE.
BOE will make reasonable adjustments for students with diabetes to enable them to participate in programs on the same basis as their peers.
To understand the needs of each person with diabetes, the details below need to be collected and assessed by our Risk Management Team. This ensures necessary planning and accommodations can be made if the participant requires extra support.
Different programs can require different levels of planning and resources. It is important that all aspects of the participants diabetes, program activities, and roles and responsibilities are outlined and agreed upon prior to the program commencement.

Details BOE Require
BOE requires a Camp Specific Diabetes Management Plan to be completed specifically for the journey program that the participant is attending. An outline will be provided as soon as possible to be able to complete this. It is to be completed by a member of their treating team (i.e. endocrinologist or diabetes educator) and must include information regarding:
- Overnight management
- Management for hypoglycaemia and hyperglycaemia for this participant
- Information on insulin delivery system (pens, pump etc.)
- Information on Blood Glucose Level (BGL) monitoring method (CGM, manual finger prick)
- Specific dietary requirements (if any)
- State the ability of participant to self-administer insulin
- State the ability of participant to determine appropriate dosages or requirement to contact parents in relation to appropriate dosages
- Details on the time since diagnosis (i.e. months/years)
- State if the person with diabetes has ever needed Glucagon
- Name of client representative who has been trained to manage/assist the person with diabetes
This information will be compiled into the Agreed Management Plan which will include the specific information of the program the participant is attending, a summary of staff responsibilities, and a management plan for emergencies.
This will be signed by BOE, the client and the parent or guardian.
The primary responsibility for medicals and first aid on Camps/Residential programs sits with the client, however BOE will need to be aware of all preexisting medical issues to be prepared for emergencies, catering, and activity management.
BOE strongly recommends the client provides trained staff members to ensure continuous monitoring and management of diabetes. The client representative who has been trained to manage/assist the person with diabetes must disclose the details of where / when this training has occurred and the training must include:
- The use of BGL monitoring system
- Operating the insulin delivery system
- Administration of Glucagon
BOE will need to be aware that a supervising adult attending a program has diabetes, however the responsibility of management remains with the adult. BOE will request that they have completed a medical form and disclose their diabetes, as a Medical Advisory Plan and/or an Agreed Management Plan may be required to support them on the program and to manage any emergencies.
INFORMATION For Parents and Guardians
Parents and guardians will be informed of the program’s details and how their child’s diabetes will be managed. This will be in the Agreed Management Plan and includes information such as:
- The program outline (to be provided to them as early as possible and with activities and distances included)
- Sleeping arrangements to inform of overnight management
- The menu for the program (to be provided to them as early as possible)
- The approximate amount of time to medical care, and the nature of available communication devices
BOE may need to contact the client and/or the parents and guardians of the participant to clarify information provided on the medical forms. Parents and guardians are also welcome to contact BOE to request further information as well.
INFORMATION FOR SCHOOLS
managing a participant's condition
The primary responsibility for diabetes management is with the client and the school. The client and school must provide a trained staff member to manage the health, safety and wellbeing of participants with diabetes.
- If there is a need for overnight monitoring and care whilst on program, BOE recommends that the client provides two staff representatives for the group to ensure adequate supervision for the group as a whole.
- The trained client representative may be required to assist with changing insulin pump lines, changing of CGM sensor sites (based on participant age/time since diagnosis).
- BOE staff will assist in the provision of first aid in the event of hypo- or hyper-glycaemia in line with their training but will not be providing injections – this will be the responsibility of the client.
It is important for all parties to be aware of who is responsible for managing certain aspects of the participant’s condition and how care will be performed. These responsibilities will be outlined and agreed upon in the Agreed Management Plan which will be signed by all; BOE, the client and the parents/guardians.
